What's the most commonly under-budgeted item for a corporate event?
Registration staffing. A slow check-in line pushes back everything scheduled after it, and it's easy to assume a sign-in sheet needs less staffing than it actually does once a real crowd shows up at once.
How do I avoid AV problems on the day of the event?
Share your room's exact dimensions and power situation with your AV vendor ahead of time, and request a walk-through if it's an unfamiliar venue. Most AV surprises come from equipment that was sized for a different room.
When should I lock the final run-of-show?
One to two weeks before the event, once headcount and vendor arrival windows are confirmed. Share it with every vendor, not just your internal team, so load-in doesn't turn into several crews competing for the same loading dock at once.
